Participant Notice Fulfillment Solutions

Information about Sentinel's physical mailing and eDelivery services is outlined below.
 

Mailing Fulfillment

Description of the Service:

  • Note: Pricing updated effective 10/15/2023
  • Sentinel will print and mail all notices and disclosures to each participant’s address based on the option selected.
  • All notices will be printed in color and mailed in an 8 ½ x 11, 5 ½ x 7 ½ or number 10 envelope based on the number of pages in the mailing. Postage will be at a First Class Rate and is included in the prices listed below.

 

Options for Participant Mailings

Option 1: Sentinel will mail to all participants on file. 

Select this option to include your entire participant population, based on census information in Sentinel’s recordkeeping system.

Sentinel will be using participant demographic information on file at the time of the mailing. This will include all eligible participants, regardless of whether they are contributing to the plan and inactive participants who have a balance. Participants with no address may be mailed to your office for distribution. Please note that we may contact you regarding mail that is returned to our office as undeliverable.

Option 2: Sentinel will mail to inactive participants with balances only.

Select this option if you wish to have Sentinel only send notices to inactive participants with plan balances. Active participants will be handled by you. Sentinel will be using participant demographic information on file at the time of the mailing.

eDelivery:
Description of the Service:
  • Note: Pricing updated effective 10/15/2023
  • In order to receive eDelivery confirmation from your employees, we must first mail them a hard copy Initial Notice of Electronic Delivery that includes information regarding their eDelivery rights. The Initial Notice will be mailed to the participant’s home address.
  • Participants can manage their email preferences or opt out of eDelivery through their retirement account login at sentinelgroup.com.
  • Once enrolled in eDelivery, participants will receive notices and disclosures at their preferred email address. The email notification will include instructions for accessing the notice. Notices may also be included in the body of the email or as an attachment.
  • Participants who do not have an email address or who have opted out of eDelivery will receive notices and disclosures by mail.

 

If you are electing eDelivery services at the time of Annual Notices, we will include the Initial Notice of Electronic Delivery with your mailed notice packages. This will allow you to utilize eDelivery for future notices and disclosures.
Note: In performing the eDelivery service, Sentinel assumes no liability as a Plan Sponsor and/or Plan Administrator (as the term is described in ERISA). Sentinel acts only as the provider of the services described and acts only as the agent of the Sponsor and/or Plan Administrator. The exception is when Sentinel has been hired as an 3(16) Plan Administrator.

Payment Details:
If you elect one of our fulfillment solutions, Sentinel will add the cost of fulfillment to your next quarterly invoice as an additional expense. This fee is considered an eligible plan expense and may be paid either from plan assets or by the employer.
